Email Instructions   

Your website email account is mainly designed for pop email programs such as Outlook, Outlook Express, or Windows Mail, but there are several webmail options as well.  The webmail login on your site's login page works very well with Firefox, but you can usually use it with Internet Explorer (IE). Browser statistics show Firefox is used more than IE7 and many of today's tools are being written to work with Firefox.  Download Firefox  When finished with your email, you can usually just close the browser window instead of logging off. 

 

Sending to Groups of People:  When using webmail, especially in schools or ministries, you may want to create a Notepad file with all of your group's email addresses (even if your email program has an Address/Contact feature). You can open Notepad by going to Start/Accessories/Notepad, then save the file using File/Save As and changing the Save In: location to your Desktop so you can easily find your group addresses.  When sending email, many Internet Service Providers (your internet service) will set a limit to the number of emails they will relay (size of group) in one message.  Most will allow 15 in a group, some will allow as many as 99.  It is probably a good plan to make groups of 15 until you know if more will work (because you do not get any error reports, it is difficult to know if the emails actually go through). Arrange your group's email addresses in groups of 15 in your Notepad file.  Make a paragraph of each 15 addresses using a comma and a space between each address (e.g. address1@mail.com, address2@mail.com, address3@mail.com, etc. without pressing Enter when the line is full so it wraps).  When sending your group message, open your email program and open your Notepad file with your addresses.  Copy your first paragraph of addresses and paste into the BCC: box (you may need to click BCC on the left if you do not see a BCC box under your CC box). You should use your own email address in the TO: box.  Of course, you should enter a Subject.  You never want to paste your addresses in the CC box because all of the recipients can see your list!  Type or paste your message in the Body box, then send (always copy the message by highlighting it and right-click copy before sending so you can paste the message in the next group you will send to).  For the remaining groups, enter your address in the TO: and type the Subject and right-click Paste the message in the Body box, then go to your Notepad file and copy your next group and paste into the BCC: box, then copy your message again for the next group, then Send.  Sounds complicated, but is really easy once you do it a couple times.

 

Internet Explorer Users: If you are having any trouble reading messages (with attachments) using the login page, use this advanced program: www.mail.yourwebaddress.org using your full email address for the username and choose the Advanced IE6+ option if asked.   The first time you use this option on each computer, a popup block message may appear where you MUST click OK, then click on the yellow bar at the top (says "...click here"), then click "always allow from this site".  You may get a message that asks you to retry, but close all browser windows instead and then re-open your browser to the mail.yourwebaddress.org login page.  Note: If you have the Google tool bar, you may have to click the Google Popup Blocker button one time while on the blocked page (button is on the same line as the Google search box) and then close all browser windows and reopen to Login page. 

 

Firefox Users: Firefox users can normally use your site's Login page login. If you would like additional features, you may want to us the www.mail.yourwebaddress.org using your full email address for the username and choose the Advanced Mozilla option if asked. The Advanced Mozilla/Firefox login may prompt a popup block message the first time you use it where you MUST click Options and click the "always allow from this site/server", then close all browsers windows and return to www.mail.yourwebaddress.org.  Note: If you have the Google tool bar, you may have to click the Google Popup Blocker button one time while on the blocked page (button is on the same line as the Google search box) and then close all browser windows and reopen to Login page. 

 

Outlook, Outlook Express, or Windows Mail Users:  Outlook, Outlook Express, or Windows Mail allows you more powerful features, but requires you to use your email from one computer. You can still use your site's Login page or mail2web.com to check mail out of the office (you will not have contacts/addresses/folder access), and should not delete your Inbox messages so they will be imported the next time you use Outlook. Outlook is part of Microsoft Office and may not be on your computer.  Outlook Express or Windows Mail is included in your Windows operating system.  All of these require you to setup your email account.  You can use this tutorial to get the general idea for other versions:

Helpful information to setup your Outlook, Outlook Express, or Windows Mail:

Username: Full E-mail Address
Password: remember to either uncheck remember or to check it
POP3 Incoming: pop.accountsupport.com
SMTP Outgoing: smtp.accountsupport.com
Check these settings under the Server Port tab if the above doesn't do it.
Incoming Server Port: 110
Outgoing Server Port: 25 or 587

For sending out mail to larger groups of people (larger than 15):
There is a section for your SMTP settings (sending mail system) that can be pointed toward your Internet Service Provider instead of the above settings.  This will usually let you bypass your ISP's limit for the number of messages that can be sent as a group.  Check the option ‘My outgoing server (SMTP) requires authentication’ under ‘Outgoing Mail Server’.  Please make sure that you uncheck the option SSL for the incoming and outgoing mailservers.
You will need to know your internet supplier login (same as your modem/router for building) to enter in this section. Suggestion: Once you find this login, use masking tape and put the login on the bottom of your modem for future reference. 
Some people will make several smaller groups of 15 to cover the group size you need instead of setting up this option to send to a larger group (just copy message and send to each smaller group).

 

Login From mail2web.com mail2web.com This is a good program for Outlook users to check their email when they are away from the office. (enter full email address and password) Important: It does not let you see Mail Folders such as Sent or subfolders you have created from your main email program.  It only accesses your Inbox and allows you to send new messages.  This will usually allow you to check other POP email accounts you might have.  It is recommended to use the Cleanup Link after you download or open any attachments, so it deletes the copy of the file on mail2web's server.  Top 10 Questions about web2mail.com  More About mail2web.com 

 

Access your email via any WAP/XHTML enabled mobile phone or PDA: Your email account supports operation via wireless devices allowing you to send and receive emails via mobile phones or a PDA. Log on for access to your email account, and enjoy all the options that you find in your usual WebMail account.

The service is easy to use.
